PURPOSE OF THE POSITION
To take responsibility for and facilitate the day-to-day running of the office. To create capacity for the Property Manager/s by coordinating and monitoring the work systems and processes ensuring efficient planning, organising and control of all clerical / administrative aspects of the office and ensure that deadlines are met.
KEY RESPONSIBILITIES

Prepare Offers to Lease, Offers to renew and Letters of acceptance in line with negotiated transactions and board approvals;

Communicate and follow up with landlords/developers/clients concerning renewals, deals, offers and new opportunities;

Preparing and compiling Board presentations and documentation on a continual basis;

Monitor, proactively track and follow-up on all documentation, offers and deliverable dates;

Manage and implement effective paperless filing systems and record keeping;

Maintain control lists of renewals, target lists, maintenance issues, board submissions and expenditure;

Deal with enquiries and ensure effective communication between landlords, clients and other stakeholders;

Manage queries concerning maintenance and communicate status of maintenance issues to Property Manager/s and landlords;
-
Travel management and accommodation arrangements;

General secretarial and administrative duties e.g. typing, filing, screening of telephone calls and general enquiries;

Organising the office and maintaining supplies of stationery and equipment;

Assist with ad hoc tasks.
JOB INCUMBENT REQUIREMENTS

Grade 12;
-
Tertiary secretarial qualification or property related qualification would be an advantage;

3 – 4 Years Personal Assistant or other administrative work experience;

Experience in the property or construction industry, leasing or legal environments will be an advantage;

Computer literacy and proficiency in MS Office (Word, Excel) and G Suite (Google sheets, docs, etc);
