PURPOSE OF THE POSITION
To assist with the administration of the lease process and ensure compliance with lease documentation and approved transactions.
KEY RESPONSIBILITIES
Lease Contracts
-
Perusal, scrutiny, and amendment of external lease contracts
-
Drafting of internal lease contracts in line with mandates
-
Compare received draft agreements with agreed standard formats
-
Liaise with parties where items on lease contracts do not comply with standard documentation or transactions
-
Prepare and update leases based on written instruction and/or verbal direction from the legal manager
-
Identification of onerous terms and indication where amendments should be made in leases
Lease Administration & Contract-Related Queries

Keep lease system up to date
-
Investigate possible reasons for deviation from transaction / Board Approval
-
Resolve queries/reasons for non-signature effectively
-
Ensure Pepkor’s rights are protected and risks pointed out / managed
Ad-Hoc Tasks
-
Assist with general office administration
-
Assist Legal Manager with reporting when required

Finalise and format lease-related documents
-
Legal invoices to be processed for authorization and payment
-
Attend meetings and document action items and follow up on completion of items
JOB INCUMBENT REQUIREMENTS
-
Grade 12
-
Diploma or other qualification in contract law would be advantageous
-
At least 3 years of experience with lease agreements
-
Basic principles, concepts, and methodology of terminology and legal research.

Computer literacy

Strong administrative skills

Project Manager
PURPOSE OF THE POSITION
To take responsibility for leading projects from its inception to conclusion. This includes planning, execution and managing the people, resources and scope of the project. The scope will include development of new premises, maintenance of sites, liaising with landlords and clients for premises managed by Pepkor Properties. This post is based in Centurion.
KEY RESPONSIBILITIES
- Compiling Costing and Capex estimates of proposed transactions for presentations to Property Board;
- Gathering of quotations from contractors and suppliers and Evaluation of quotations against approved budget;
- Appointment of contractors and suppliers;
- Managing communication flow of information such as store plans, signage plans, etc. between clients and developers/landlords;
- Ensuring that projects are completed within stipulated time frames, budgets and specifications;
- Monitoring and co-ordination of progress and ensuring payment of contractors;
- Facilitating maintenance of properties by Landlords;
- Measuring premises in accordance with SAPOA requirements and convert this to CAD drawings;
- Submission of plans to relevant authorities and obtaining Occupational Certificates.
JOB INCUMBENT REQUIREMENTS
- Grade 12 with Mathematics;
- BSc (Construction Management) or related Diploma will be an advantage;
- Formal Project Management qualification will be an advantage;
- Experience in a construction environment will be an advantage;
- Formal qualification or experience in AutoCAD, CAD or Revit software is required;
- Bilingual (English and Afrikaans) and proficiency in MS Office (Excel, Word, Outlook) and Google Workspace
- Willing to travel extensively;
- Well organized; good analytical skills; good numeracy skills; diplomacy; good communication skills; able to function independently, but also work well within a team;
- Practical experience (preferably both technical {especially electrical} and commercial experience) will be an advantage;
- Experience in Property Management / Development will be an advantage;
- Must have understanding of construction terms, scheduling and planning concepts.

Property Manager
PURPOSE OF THE POSITION
Pepkor Properties is expanding! We are seeking a dynamic Property Manager to join our growing team.
To engage with internal stakeholders, landlords, and developers, research the property market and existing Pepkor footprint, identify potential properties, negotiate and close business deals for the rental or purchase of new premises to expand, consolidate, or reposition the Pepkor business. The Property Manager is also responsible for negotiating lease renewals and ensuring that all property-related processes align with business objectives.
KEY RESPONSIBILITIES
- Research, identify and evaluate new opportunities
- Identify and evaluate opportunities to consolidate and/or reposition existing business
- Negotiate terms for new stores/premises, relocations, reductions and/or enlargements
- Oversee and manage the lease renewal process, ensuring favourable terms and timely submissions.
- Develop and maintain relationships with landlords, developers, and internal stakeholders.
- Ensure timely submission of proposals to the Board for approval.
- Monitor and evaluate business performance at existing sites and recommend corrective actions where necessary.
- Coordinate store scope of works with landlords and ensure agreements meet business needs.
- Maintain accurate records of property transactions and lease agreements.
JOB INCUMBENT REQUIREMENTS
- Grade 12 and a relevant tertiary qualification ( A degree in Property Studies or a related field will be beneficial)
- Minimum 3 years’ experience in Property Management
- Exposure to the retail industry would be an advantage
- Proficient in MS Office/G-Suite and able to use and adopt various online systems.
- Willingness to travel regularly.
- Key competencies: Excellent negotiation and communication skills, strong attention to detail, problem-solving ability, ability to work independently, well-organised, and ability to adapt to change.

Property Assistant (Centurion)
PURPOSE OF THE POSITION
To take responsibility for and facilitate the day-to-day running of the office. To create capacity for the Property Manager/s by coordinating and monitoring the work systems and processes ensuring efficient planning, organising and control of all clerical / administrative aspects of the office and ensure that deadlines are met.
KEY RESPONSIBILITIES

Prepare Offers to Lease, Offers to renew and Letters of acceptance in line with negotiated transactions and board approvals;

Communicate and follow up with landlords/developers/clients concerning renewals, deals, offers and new opportunities;

Preparing and compiling Board presentations and documentation on a continual basis;

Monitor, proactively track and follow-up on all documentation, offers and deliverable dates;

Manage and implement effective paperless filing systems and record keeping;

Maintain control lists of renewals, target lists, maintenance issues, board submissions and expenditure;

Deal with enquiries and ensure effective communication between landlords, clients and other stakeholders;

Manage queries concerning maintenance and communicate status of maintenance issues to Property Manager/s and landlords;

Travel management and accommodation arrangements;

General secretarial and administrative duties e.g. typing, filing, screening of telephone calls and general enquiries;

JOB INCUMBENT REQUIREMENTS

Internal Lease Administrator
PURPOSE OF THE POSITION
Pepkor Properties is growing! We are looking for an Internal Lease Administrator to join the Properties Legal team.
The role of the Internal Legal Administrator is to draft and prepare internal leases for signature and submission to landlords/agents. To follow up and retrieve outstanding lease agreements from landlords/agents and process them.
KEY RESPONSIBILITIES
Lease Contracts (Internal Drafting):
- Perusal, scrutiny, and amendment of lease contracts
- Compare received draft agreements with agreed standard formats
- Prepare and update leases based on written instruction and/or verbal direction from legal advisor and Head of Legal
- Draft and proofread correspondence, paying close attention to grammar and spelling
Lease Administration:
- Obtain signed lease agreements from landlords and agents
- Receive, inspect, confirm compliance, and process lease agreements
Audit: Conduct audits to ensure lease terms align with information on the system
Lease Administration & Contract Related Queries:
- Assist with internal hybrid agreements with landlords’ in conjunction with the Head of Legal
- Engage with relevant stakeholders to ensure that all items on lease contracts comply with internal standards and mandates
- Address queries from landlords and obtain necessary approvals
Projects and Team Support: Support relevant projects and initiatives when required
JOB INCUMBENT REQUIREMENTS
- Grade 12, admin/contract related qualification advantageous
- 2 years’ work experience in a Legal and/or Property Administrative environment
- Telemarketing/Call center background will be an advantage
- Administrative experience will be an advantage
- Basic understanding of lease contracts
- Computer literacy (G Suite), MS Office
- Competent in correspondence, including telephone etiquette and typing

Accounts Administrator
PURPOSE OF THE POSITION
Pepkor Properties is growing! We are looking for a new Accounts Administrator to join the team.
The Accounts Administrator role is to ensure the Rental System is updated at all times, and in agreement with contracts, and all rentals are paid timeously and to the correct party.
KEY RESPONSIBILITIES
- Administration of leases and subleases
- Preparation of documentation for meetings and presentations
- Updating of rental system
- Reconciliation and payment of accounts

JOB INCUMBENT REQUIREMENTS
- Grade 12
- 2 – 3 Years administration experience within the accounts or property industry
- Basic accounting/bookkeeping
